The situation

A service company runs on a back-office system its customers can't see into. Every booking, quote approval and invoice question becomes a phone call or an email thread, and office staff spend their day relaying information that already exists in a database.

How we approach it

  • Map the real workflows with office staff first, so the portal mirrors how jobs actually move.
  • Build a secure customer login over the existing system's data rather than replacing that system.
  • Ship the highest-volume task first — usually booking or quote approval — then add payments and history.
  • Give staff an admin view to see exactly what each customer sees.
