Internal operations tool replacing shared spreadsheets

One system of record for orders, stock and approvals, in place of a dozen spreadsheets only two people understand.

This is a representative example of a project type we take on — a typical situation, approach and scope — not a description of a specific client engagement. Timelines are indicative; yours will depend on the details.

The situation

The business grew up on spreadsheets. They now hold critical data, break when two people edit at once, and offer no record of who changed what. The people who understand the formulas are a single point of failure.

How we approach it

  • Import the existing spreadsheets as they are, warts included, so nothing is lost on day one.
  • Use Django's admin to get a working internal tool in front of staff within weeks.
  • Add validation, permissions and an audit trail where the spreadsheets had none.
  • Keep an export-to-Excel button on everything — adoption depends on it.

What gets delivered

  • Web-based operations system
  • Data import from legacy spreadsheets
  • Role-based permissions and audit log
  • Scheduled reports and exports
